6S: small steps, big impact in ambulatory surgery department storage room

Dublin ASU nurses lead a 6S overhaul to fix storage issues, boost safety, and improve care amid rising patient volumes.

The Unit Practice Council (UPC) and Dublin Ambulatory Surgery Unit Workplace Safety Committee are leading the implementation of the 6S methodology to improve organization, safety, and care quality in the Ambulatory Surgery Department. Cluttered and inconsistent storage areas were creating workflow inefficiencies, impacting both staff’s effectiveness and patient care. In response, a multidisciplinary team from surgery, operations, and supply management launched a 6S initiative to standardize processes and optimize the work environment.

The team applied each element of 6 Sigma (6S) — Sort, Set in Order, Shine, Standardize, Sustain, and Safety — to revamp supply areas. They eliminated unnecessary items, reorganized tools based on clinical workflow, performed deep cleans, implemented standardized labeling and room setups, and scheduled regular audits. Safety was embedded through routine checks during pre-op and post-op processes.

This structured approach not only reduced delays and errors but also improved staff satisfaction and overall patient care by fostering a cleaner, safer, and more efficient work environment.

After implementing the 6S structured approach to reorganize supply storage, the impact was clear and measurable. Prior to 6S, 90% of surveyed care team members reported spending significant time locating supplies and equipment. After the overhaul, 100% of respondents indicated they now spend less time searching, reflecting a dramatic improvement in efficiency.

Here’s a visual summary of the survey results related to the 6S implementation:

Key Insights

  • Before 6S: 90% of surveyed care team members reported spending a lot of time locating supplies/equipment.
  • After 6S: 100% of surveyed care team members reported spending less time locating supplies/equipment.
  • Efficiency & Satisfaction: Both received a perfect average rating.
  • Safety: Majority (80%) rated the storage area as very safe.

 Staff Feedback:

Improved Organization and Safety:

Staff report a more organized and less cluttered environment that enhances safety when retrieving supplies.

“It looks more organized and less cluttered. It keeps staff safe when getting supplies.” –  Sheela Coutinho, RN, CCRN

Enhanced Accessibility:

The work area is now spacious and organized, allowing easy access to supplies and equipment for staff.

“It is spacious now and organized. Can easily access supplies and equipment.”  – Gerald Pascual, RN
